Breakdown Times
Early set-up may be possible depending on availability and is only allowed by request. Please contact Event Services in advance to discuss the options.
Bringing in large equipment? Be sure to read the Logistics section first.
No build-up work is allowed on the first day of the event. Only small items may be brought in that morning via the exhibitor entrance (with carts) or public entrance (without carts). All loading doors will remain closed. Activities that could soil or damage the stand or venue, such as painting or sawing, are no longer permitted at this time.

Material Deliveries
Delivery or shipping of materials for your stand is only permitted during the designated set-up and event days. Pre-event delivery is not allowed. We do not sign for deliveries, so make sure someone from your team is present to receive them.

Large & Heavy Equipment
Heavy and large materials for the stand must be delivered in advance to Valverde Event Logistics.
Logistics Services
Valverde can assist with transporting stand materials, machinery, etc. to the event location. They also offer forklift services.

Emission zone
Ahoy Rotterdam is located outside the emission zone. All information regarding the emission zone can be found on the website: Zero-emission zone for delivery vans and trucks | rotterdam.nl
Storage
Reserve storage space for empty packaging via Valverde
Exhibitor Access
- Loading doors are closed during all event days.
- No access passes are needed during the set-up period.
- All stand staff must be registered in advance to access the event.
- Minimum age during set-up is 16 years.
- Pets are not allowed, with the exception of service dogs.
Parcking
During the set-up and breakdown periods, as well as during the event itself, the parking lot of Rotterdam Ahoy is available. Parking during set-up is free of charge. Green vehicles are allowed. Red vehicles are not allowed. Camping is strictly always prohibited in our parking lot.

As an exhibitor, you can park in P1/P2. At your stand, you will receive a 2-day parking pass. Using this QR code, you can exit once per day.

Onsite Orders
If you’d like to place an additional order, you can do so at the exhibitor desk. Please note: not all webshop items are available for ordering onsite. Pre-ordered items always take priority in fulfillment.
Pick-Up of Badges & Vouchers
Avoid long queues. Register your stand staff in advance via My Easyfairs and collect your exhibitor badges, catering vouchers, and parking tickets at the exhibitor reception. Vouchers and badges can be picked up at the following times:

During the event days, you can pick up badges at the regular registration desks.
